Booking process and cancellation policy

BASE is committed to supporting the professional development of staff through fully funded training opportunities. We fund course places for this programme upfront and only recover costs from the Department for Education (DfE) when the nominated staff member completes the course in full. A series of courses have been scheduled between now and March to help meet national targets for workforce development.

We understand that circumstances can change, but short-notice cancellations or non-completion of training have a significant financial impact on us as an organisation and limits availability for people who could have accessed this training. On average, each cancelled place results in a loss of £800.

To ensure fairness and shared responsibility, from December 2025, a cancellation fee of £800 per place will apply for any booked place that is cancelled with less than 10 working days’ notice. To avoid this charge, we ask that providers reallocate the vacated place to another eligible staff member already booked on a future course or involved in supported internships. If this is not possible, the cancellation fee will be applied, and future bookings for that organisation may be withdrawn and offered to other providers.

Please note that staff reallocation is ONLY possible for the whole course duration and cannot be swapped partway through a course.

Additionally, staff who are withdrawn from a course with less than 10 working days’ notice, will not be eligible for funded places in future unless a substitute staff member is provided. We are a compassionate organisation and we will review unforeseen, extenuating personal circumstances.

This policy is designed to protect the integrity of the programme and ensure that resources are used effectively to benefit as many staff as possible.

We appreciate your understanding and cooperation in helping us deliver this programme successfully and achieve our shared goals.

Booking Terms

To apply for a place, organisations must complete an application form on behalf of their employee. By submitting this form, your organisation agrees to:

  • Pay £800 if the enrolled employee cancels with less than 10 working days’ notice, or starts but does not complete the course, unless there are unforeseen, extenuating personal circumstances.
  • Pay the full course cost of £800 if the enrolled employee is found to be ineligible for fully funded training.

Once we have received the registration form, we will send an enrolment form directly to the employee to complete with the details required for enrolment and dates of courses.  Please note we have courses running throughout the year and we cannot guarantee places for the training due to the priority areas.

Managers nominate staff via a Microsoft form.

Nominated staff receive an email invitation to apply and select three preferred dates from live availability.

Places are allocated on a first-come, first-served basis, prioritising:

  • Providers in priority local authority areas.
  • Providers identified in a SIQAF review as needing training.
  • New providers already delivering internships.

Dates shown on the Microsoft form are live and updated regularly. If a course is listed, places are available. This ensures up-to-date information and avoids delays from website updates.

  • Attend all sessions.
  • Be in a space you won’t get disturbed.
  • Be released from workplace duties during training.
  • Join via laptop or computer with camera on (phones are not suitable).
  • Engage fully in interactive activities and breakout rooms.
  • Provide correct postal address for study packs and equipment.
  • SET courses: Missed sessions may be rescheduled on a mop-up course only for valid reasons (e.g., illness).
  • TSI courses: No rescheduling; missing a session means the opportunity is lost.
  • Cancellations within 10 days incur an admin charge of £150, rising to £800 (full course cost).
  • Persistent cancellations may be reported to DfE.

No. Courses are CPD-accredited and require live participation. Sessions are not recorded to maintain confidentiality and interactive learning standards.

Up to four places per course type (SET and TSI) per provider, unless covering multiple local authority areas.

8–12 weeks after training, once you complete the impact survey.

  • Confirmation emails are sent within 10–14 days if eligible.
  • Certificates are issued only after the impact survey is completed.
  • If delayed, check junk mail or contact the training team.

It’s funded by DfE, but each place costs £800. Don’t waste it.

Read the bookings and cancellation policy carefully.
